Fulfill an order from Shopify Admin

Quick Sheets adds the file actions to each Quick Sheets item in the Shopify order, so you do not need to open the Quick Sheets dashboard for routine fulfillment.

  1. Open the order in Shopify Admin and find the Quick Sheets product line.
  2. Select Print Ready File.
  3. If the latest file is still being prepared, wait for it to become ready.
  4. Select Open or Download. You can also copy an open or download link for your production workflow.

Print Ready File always shows the latest file status for that item. After making a correction, reopen it instead of using an older copied file link.

Correct an ordered sheet

Use Admin Edit when the ordered artwork or layout needs a correction. The original print file must be ready before Admin Edit can open.

  1. Select Admin Edit from the order line.
  2. Make the correction in Builder and select Save.
  3. Return to the Shopify order and reopen Print Ready File.
  4. Wait for the replacement file to become ready, then open or download it.

Saving automatically starts a new print file. The purchased size, variant, and quantity cannot be changed through Admin Edit.

The customer-facing Edit and Preview links are different. Use Admin Edit for changes after purchase.

Find a design

  1. In Quick Sheets, open Designs.
  2. Search by design, product, customer, or order.
  3. Narrow the list with All, Customer designs, or My designs.
  4. When viewing customer designs, you can also filter by Assigned, Draft, In cart, or Ordered.

Before opening a design, confirm its product and size and, where relevant, its customer, order, and status.

Create a design for a customer

Use Create new design when a customer sends artwork by email or phone, visits your shop, or needs you to prepare a sheet before they purchase it. The customer does not need to start the design in your storefront.

  1. In Designs, select Create new design.
  2. Find a Builder-ready Gang Sheet product and select Open Builder.
  3. Prepare the sheet and select Save.

Saving also starts creating print files when the product is ready for printing. You can then download the files or use the actions below to let the customer review, edit, or purchase the design. You can also assign a copy to the customer's Saved Designs.

Manage an order through Quick Sheets

Use this path when you need to find or manage the designs connected to an order rather than only download its print files.

  1. In Quick Sheets, open Orders.
  2. Search for an order or customer, or filter by Unfulfilled, Fulfilled, or All.
  3. Open the order's actions and select View designs.

The Designs page then shows the designs connected to that order. Downloaded on the Orders page means at least one print-file download was recorded for the order; it does not mean every file was downloaded.

Work with a design

If the rename control appears beside a design you started, select it, enter the new name, and select Save name.

Open the actions for a design. Available actions depend on the design and product.

  • Edit opens a design you started in Builder so you can arrange customer artwork, correct the layout, or continue unfinished work.
  • Preview lets you inspect an available design without opening it for editing.
  • Clone creates an independent copy. Use it to make an alternative layout or reuse a starting point without changing the original.
  • Assign creates a copy for the customer and adds it to their Quick Sheets Saved Designs. Use it when you prepared the artwork but want the customer to continue from their own account later.
  • Create builder link copies a shareable link. Opening it creates a separate copy in Builder, where the recipient can review and edit without changing your original design. The link supports review and editing but does not record formal approval.
  • Create checkout link copies a link that takes the prepared design toward checkout. Use it when the customer does not need to work in Builder and only needs to purchase the finished sheet.
  • View related designs shows the original design and copies created from it, such as copies you made or customer designs created through assignments, builder links, or checkout links.
  • Remove assignment removes the design from the customer's Saved Designs but keeps your original. Use it when a design was assigned to the wrong customer or should no longer appear in that customer's account.
  • Delete design removes the draft from My designs. Existing history and generated files are kept.

If an action is unavailable, follow the reason shown in the menu. Contact support if the message does not explain how to continue.

Generate print files from Designs

Save the design and make sure its Gang Sheet product is configured before generating print files. Complete payment approval first if Quick Sheets asks for it.

  1. On Designs, open the actions for the design you want to print.
  2. Select Generate print files.
  3. Wait while the print status changes from Queued to Generating, then Ready or New print files.
  4. Open the actions again and select Print-ready files.
  5. For each file, select Open or Download. You can also copy an open or download link.

Print file generation can take 1–10 minutes. The Designs page refreshes active generation statuses automatically.

Understand print statuses

  • Not generated: no print files have been generated yet.
  • Queued: generation is waiting to start.
  • Generating: the file is being prepared.
  • New print files: a ready file has not been opened yet.
  • Ready: the print file is available.
  • Failed: the latest generation did not complete.
  • Payment approval required: billing must be approved before the file can be generated.

Fix common print-file problems

  • Admin Edit is unavailable: The original print may still be preparing or may have failed. Open Print Ready File, wait for generation to finish, or retry the failed generation before opening Admin Edit again. Canceled order lines cannot be edited.
  • The new print file failed: Retry it from Print Ready File. If a previous file is shown, it is the file from before your correction.
  • An edit conflict appears: Close Builder and reopen Admin Edit from the Shopify order before making the correction again.
  • Quick Sheets asks you to choose an order: Select the Shopify order and file you are working with.
  • Generate print files is unavailable: Follow the reason shown in the action menu. You may need to save the design, finish setting up its product, wait for current generation to finish, or approve payment.
  • Print-ready files is unavailable: Generate the files first. If generation is still running, wait for it to finish.
  • The latest generation failed: From Designs, choose Generate print files again. If generation keeps failing, contact support.
  • A download does not start: Try Download again. You can also copy the download link. Contact support if the problem continues.
  • The design or order is missing: Clear the current search and filters, then search again. Designs appear after someone starts and saves a design.
